Five Things You Need to Set Up as a Consultant

Introduction

In my previous article, I spoke about the differences between inside IR35 contracting and outside IR35 contracting. We established that outside IR35 contracting is the government’s way of describing an independent consultant.

When I first took on this type of contract, I didn’t register how different it may be in terms of getting myself ready for it. 

In this article, I’ll guide you through five essentials every independent consultant needs to thrive. Consulting is more than just sharing your expertise, it’s about establishing a solid professional foundation that fosters efficiency, trust, and lasting success.

1. Essential Templates


Templates are a consultant’s best friend. They save time, boost productivity, and help you maintain a consistent brand image. Whether it’s contracts, proposals, or processes, having polished, reusable documents ensures you’re always prepared. 

In my recent LinkedIn post, I wrote about a simple process for developing an SOP (Standard Operating Procedure). The same process applies when developing a template. 

Let’s say for example you were a project manager, and you were aware of the 4 stages of the project cycle being:

  1. Initiation and scoping
  2. Planning
  3. Delivery & Monitoring
  4. Close/Transition

The question to ask yourself is, what documents, processes, and templates do I need to create to create efficiencies in my delivery? This is how you create value, and hit the ground running quicker.

Everytime you create a template or document in Excel, Word, PowerPoint, or any other software, create a blank version of it, and test it for future use, iterating it on the way.

Remember to personalise your templates with your brand colours and tone for that professional edge.

2. Leveraging AI Tools


AI tools aren’t just a trend—they’re game-changers. Use them for brainstorming, creating SOPs, reviewing documents, or generating visuals. When you utilize AI with the first recommendation, it transforms the way you work. With your knowledge and expertise, you could create a bulletproof and pretty unique set of templates utilising things like ChatGPT, Claude, or Gemini.

I’m an avid fan of generative AI, particularly ChatGPT (the pro version). It has helped remind me of frameworks, brainstorm ideas, and clarify my thinking centered around key concepts or meetings.

AI has also been useful for capturing meeting notes and minutes, helping me determine actions, decisions, risks, and issues noted in the meeting. An example of a tool you can use is OtterAI – however, there are many others in the market that may suit your needs.

When used creatively, you can truly speed up your workflow! It is not meant to replace you, but it is supposed to create efficiency. These tools, when integrated wisely, streamline your workload and free up your time for higher-value tasks. 

Always note that when using these tools you need to ensure you are fulfilling your confidentiality agreements set between you and your clients, and so check the terms and conditions of these tools to see how information is stored and processed.

Just remember: AI is a support system, not a substitute for your expertise.

3. Time Tracking and Productivity Tools


Time is money, and managing it effectively is crucial. Tools like Toggl and Clockify help you track tasks and improve billing accuracy. Adding context to your time logs can also provide valuable insights into where your efforts are most impactful. 

As a consultant, you need to be in a position where you can evidence what you have done day to day. This helps evidence your agreed deliverables within your proposal in addition to keeping ‘delivery receipts’ against your submitted timesheets/invoices. 

Staying organised ensures nothing falls through the cracks.

4. Advanced Setup for Success


We all have some software that houses our documents. A well-organised digital storage system is essential for maintaining professionalism and security. Microsoft 365 and Google Drive offer excellent solutions to keep your files accessible and safe. An online cloud-based solution is as important (if not more important) than an offline solution.

It would make sense to purchase the business subscription packages for Microsoft 365 or Google Workspace, depending upon what your clients typically use (with the aim to enhance cohesiveness when working together). Access and tenancies may be an issue, but ensure that you maintain separate desktop and browser profiles, for your personal and professional activities, to reduce any security errors that may prevent you from working optimally.

Remember to organise your documents logically, and don’t store anything unnecessary or sensitive.

5. Creating Visually Appealing Content


As an independent consultant, you must be a professional. You don’t have a top firm who is endorsing you. With that in mind how you brand yourself through your work is important.

Creating clean looking documents sets you apart. Tools like Canva enable you to design stunning presentations, diagrams, and documents. Visual content not only strengthens your brand but also makes your communication clearer and more engaging.

Bonus Tip! Partnering with Professionals


Never underestimate the power of a strong support team. Work with an experienced accountant who understands your needs, helping you to keep your finances in check. Also, consider hiring a virtual assistant to handle administrative or marketing tasks making you do what you do best with more ease. 

Surrounding yourself with skilled professionals allows you to focus on what you do best, consulting!
